You can voluntarily submit your personal information to us if you are interested in talking to us about our services. This information will be used for marketing purposes. If you are a sole trader or partnership this information will also be used to populate your Top Service credit file.

You can voluntarily submit your personal information to us if you would like to request four free credit checks. This information will be used for marketing purposes. If you are a sole trader or partnership this information will also be used to populate your Top Service credit file, excluding the names of the business that you credit check.

You can voluntarily submit your personal information to us if you have a credit control question or query that you would like us to answer. This information may be stored and used at a later date for marketing purposes. If you are a sole trader or partnership this information will also be used to populate your Top Service credit file, excluding your actual query or question which remains confidential.

We are registered under the Data Protection Act 2018 (registration number Z7416099) to process your personal data and we abide by the seven data protection principles.

We have security policies, rules and technical measures in place to prevent:

  • Unauthorised access or modification of the personal data that we process.
  • Improper use or disclosure of the personal data that we process.
  • Unlawful destruction or accidental loss of the personal data that we process.

If you are an individual, a sole trader or a partnership and you would like to see the information that we hold on you please email a request (including contact telephone number) to subjectaccess@top-service.co.uk. We will need your full name, home address, any trading names that you use and any addresses that you trade from.

Top Service Ltd is a credit reference agency and debt recovery service provider to companies in the UK construction industry. We collate and provide credit information and trading experiences to members of our service.

Top Service Ltd operates as both a Data Controller and a Data Processor. Top Service Ltd strives to be fully compliant with all data protection legislation including the Data Protection Act 1998 and all subsequent amendments and regulations including The General Data Protection Regulations (GDPR) which come into force in May 2018. Purposes of Data Processing

Top Service Ltd collects and processes data for the following purposes:

Clients

Data is collected, processed and stored on prospective, current and past clients specifically to enable the company to:

  • Engage in marketing activity to prospective clients who may find the company’s services useful. In the case of partnerships, sole traders or individuals marketing activity will only be directed at those prospective clients that have explicitly indicated that they have an interest in the company’s services.
  • Manage the company’s relationships with its existing clients.
  • Update past clients with any relevant information that may arise since the termination of the business relationship.

Information pertaining to prospective, current and past clients is not generally passed on to any third parties. The exception to this is where a current client may instruct the company to take legal action against a debtor. In this instance relevant information will be passed to the company’s appointed solicitor.

Suppliers

Data is collected, processed and stored on prospective, current and past suppliers specifically to enable the company to:

  • Source suitable suppliers.
  • Manage the company’s relationship with its existing suppliers.

Information pertaining to prospective, current and past clients is not generally passed on to any third parties.

Credit Reference Data Subjects

Data is collected, processed and stored on credit reference data subjects specifically to enable the company to go about its lawful business. Information is collected from the following sources:

  • The company’s clients in the form of ‘payment histories’ and ‘trading experiences’.
  • Licensed credit reference agencies.
  • Tracing agencies.
  • Solicitors and other legal professionals.
  • Public sector databases such as Companies House, Land Registry, etc.
  • Private sector databases such as business directories.
  • Websites in the public domain including social media sites.
  • Newspaper and journals including the legal gazettes.

Information is passed to the company’s clients and to legal professionals working on behalf of the company’s clients.

Debt Recovery Data Subjects

Data is collected, processed and stored on individuals that are subject to the company’s debt recovery processes. Information is primarily collected from the instructing client but during the course of the collection process information may also be sourced from:

  • The company’s other clients.
  • Licensed credit reference agencies.
  • Tracing agencies.
  • Solicitors and other legal professionals.
  • Public sector databases such as Companies House, Land Registry, etc.
  • Private sector databases such as business directories.
  • Websites in the public domain including social media sites.
  • Newspaper and journals including the legal gazettes.

Information is primarily passed to the instructing client but may also be passed to the company’s other clients and to legal professionals working on behalf of the company’s clients.

No data is transferred by us to anybody outside of the EEA.
